Fuel providers were running delivery scheduling, fuel tracking and customer billing across phone calls, spreadsheets and paper invoices. Every new client added administrative work instead of revenue, and there was no customer-facing way to request a refill.
On-demand fuel delivery is a logistics business disguised as a simple errand. A single order touches pricing, driver dispatch, tank capacity, proof of delivery and an invoice that has to match to the gallon. Doing that by hand caps how many customers one operator can serve, and mistakes show up as disputed invoices weeks later. Fuel Clubs needed software that could carry the operational weight so the team could sell instead of chase paperwork.
Our approach
- 1Mapped the full order lifecycle — request, dispatch, delivery confirmation, invoice — before writing any code.
- 2Designed a mobile-first ordering flow so drivers and customers can work from a phone in the field.
- 3Built a scalable Node.js and Express backend to handle order routing, fuel inventory and secure authentication.
- 4Integrated Stripe for recurring subscriptions and usage-based billing so invoicing runs without manual work.
- 5Shipped in weekly increments so the team could test real orders long before the public launch.
What we built
React Native mobile app
One codebase for iOS and Android where customers request a refill in a few taps and drivers confirm deliveries from the truck, with offline-tolerant order state.
Operations dashboard
A single screen for customers, live orders, routing and fuel inventory so dispatch decisions are made from real data instead of a whiteboard.
Automated billing with Stripe
Recurring subscriptions plus usage-based charges generated straight from delivered gallons, removing manual invoicing entirely.
Role-based access
Operators, drivers and clients each see only what they need, with secure authentication and permissions enforced on the server.
Connected marketing site
A conversion-focused website tied into the same account system, so a new customer can go from landing page to first order without a phone call.
The result
Fuel Clubs now runs ordering, dispatch, client management and billing on one platform instead of a stack of manual processes, giving the operator the digital infrastructure to add customers without adding admin overhead.
Because the data model was built around the real order lifecycle, adding new service areas, drivers or pricing rules is a configuration change rather than a rebuild. The same foundation now supports reporting, customer self-service and future fleet contracts.
